Our Services

RRM Health provides a SaaS platform supporting healthcare workflows — including referral management, scheduling, communication, and analytics.

Eligibility & Use

You must be at least 18 years old and are responsible for maintaining the security of your account and complying with these Terms.

No Medical Advice

The Services do not provide medical advice, diagnosis, or treatment. Always consult a qualified healthcare provider.

Customer Data Ownership

Your data is yours. Here's how we approach ownership and processing.

Your Data, Your Rights

Customers retain all right, title, and interest in and to all data submitted, stored, or processed through the Services (“Customer Data”).

No Ownership Claims

RRM Health does not claim ownership of Customer Data and processes such data solely for the purpose of providing and improving the Services.

Limited License

RRM Health is granted a limited, non-exclusive license to process Customer Data strictly as necessary to deliver the Services and fulfill contractual obligations.

Customer Data Rights & Lifecycle

From active use through termination and beyond — clear rules for exporting, retrieving, and deleting your data.

Data Export

Customers may request export of their Customer Data at any time during the term of the Services.

  • Supported formats include JSON, CSV, PDF, or other commonly used formats depending on data type.
  • Exports are delivered via secure methods (e.g., encrypted download or secure file transfer).
  • Reasonable export requests are included; large-scale or custom exports may be subject to additional fees.

Post-Termination Retrieval

Upon termination or expiration of Services, customers may request retrieval of Customer Data for a defined period following termination.

Data Retention

Customer Data is retained for the duration of the Services in accordance with operational and service requirements. Retention periods may be modified to accommodate Customer requirements, regulatory obligations, or applicable law.

Data Deletion

Following the expiration of the data retrieval period:

  • Customer Data is deleted or rendered inaccessible from active production systems.
  • Residual copies in backups are securely deleted or overwritten within 30–90 days, consistent with internal retention and destruction policies.

Data Protection & Security

Safeguards aligned with industry standards and applicable regulations to protect your data.

HIPAA-Aligned Safeguards

We implement administrative, technical, and physical safeguards to protect Customer Data, including PHI, in accordance with applicable laws. PHI processing is governed by a Business Associate Agreement (BAA) where required.

De-Identified Data

RRM Health may use de-identified or aggregated data for analytics, service improvement, and product development, provided such data cannot reasonably identify individuals.

Reasonable Security

RRM Health maintains reasonable and appropriate security measures but does not guarantee absolute security.

Data Hosting & Residency

Customer Data is hosted within secure cloud infrastructure provided by industry-standard providers (e.g., Amazon Web Services) and, unless otherwise agreed in writing, is stored and processed within the United States.

Service Levels & Support

RRM Health maintains operational processes designed to ensure platform reliability and support responsiveness — targeting approximately 99.9% uptime, with designated support channels, incident response based on severity, and timely updates during incidents.

Usage & Business Terms

How our relationship works — from payment to acceptable use, intellectual property, and third-party services.

Fees & Payment

Subscription-based or custom pricing. Payment terms are defined in applicable agreements.

Acceptable Use

Users must not misuse the Services or attempt unauthorized access or disruption.

Intellectual Property

All IP rights in the Services, excluding Customer Data, are owned by RRM Health LLC.

Third-Party Services

RRM Health may rely on third-party providers and is not responsible for their performance.

Services are provided “as is” without warranties of any kind.

Limitation of Liability

RRM Health is not liable for indirect, incidental, or consequential damages.

Indemnification

RRM Health may suspend or terminate access for violations of these Terms.

Governing Law

These Terms are governed by the laws of the State of Washington.

Changes to Terms

RRM Health may update these Terms periodically. Continued use constitutes acceptance.
